Tyler Redlitz, VP of Finance at Managed by Q, shares how his team uses Adaptive Insights, with Carlson’s world-class services and support, to develop an efficient close process and strategically support their business.
Please provide a description of your organization and mission.
Managed by Q is a platform for workplace professionals that helps them manage their office experience, creating a better day at work for employees. By using Managed by Q, customers are able to manage communications and billing with their vendors, resolve employee help requests, order services like cleaning and maintenance, hire for administrative roles to help support the office, manage their day-to-day tasks, and more.
Managed by Q’s mission is to empower companies to work better so they can focus on what matters most to their business. Our company is headquartered in New York and has approximately 170 full-time employees.
Please provide a description of your role and responsibilities within your organization.
As the VP of Finance, I oversee finance and revenue operations. My team budgets and reports on the business.
On the finance side, this encompasses short- and long-term planning. On the revenue and operations side, we are focused on delivering sales enablement strategies to help the sales team drive new customer acquisition in a more efficient manner.
Please describe the challenges that your organization faced which led you to seek out a new cloud-based CPM solution.
With part of our product being a marketplace business, planning and reporting can be challenging with so many moving parts. Our objective is to report on the business for the various internal decision-makers on our leadership team. Because we have a complicated business structure, we want to be more nimble and able to provide reporting in real time. It makes sense to have a tool that helps us evaluate our business, quickly process data, report on our findings, and reforecast in real time based on those insights.
What factors made you decide that Adaptive Insights was the right solution for your organization?
Adaptive Insights is the right solution for Managed by Q because it’s a plug-and-play solution we were able to get up-and-running relatively quickly. It also didn’t require a significant amount of customization for us. Compared to other options, Adaptive Insights is a more adaptable and mature solution, and is easier to implement.
Which systems are you using Adaptive Insights with? What are the key benefits?
We primarily leverage NetSuite as our data source. Currently, we are loading our GL detail into Adaptive Insights. Additionally, we may integrate the two systems down the road.
The greatest benefit is that we no longer have to do any manual reporting. We can also customize reporting for our business partners. If they ask for new ways to look at the business, they can do so very easily with the tool.
We’re also able to thoroughly and quickly analyze results during our close process. Our process is more organized as we load the data into Adaptive to analyze the budget. If we notice any anomalies, we can provide feedback to the accounting team so action can be taken.
With Adaptive Insights, what abilities do you now have that you didn’t prior to implementation?
Our monthly close process is more efficient now that we use Adaptive Insights. By leveraging the tool, we are able to reduce the errors and anomalies in the data and have created a more organized process for closing and analyzing the results. As we transition our workflow from Excel to Adaptive Insights, we are able to be more thoughtful and strategic in the way we support the company’s growth.
Adaptive Insights also saves us a lot of time, as don’t have to spend as much effort aggregating the data.
What are some of the other benefits you have experienced that may be less quantifiable?
One of the benefits we’re looking forward to soon is having our partners conduct their planning in Adaptive Insights. This will reduce a lot of the confusion that happens when sharing data across Excel files and email. Our business partners will be able to plan directly through Adaptive Insights, which will provide more clarity as they enter the data and manage it themselves.
Another benefit we’ll have is better version control. Specifically, we’ll be able to archive versions and budgets, so we can easily find and reference them.
